A good construction timesheet does two jobs: it pays your crew correctly, and it tells you which job the labor belongs to. Most generic templates only do the first. This one is built for contractors with crews on more than one site.

What every construction timesheet should include
- Worker name and trade or classification. Classification matters for prevailing wage and certified payroll.
- Week ending date.
- Job name or number for each entry. One worker can hit several sites in a week, so the job goes on the line, not the top of the sheet.
- Cost code. Ties the hours to the right phase for job costing.
- Time in, time out and unpaid break for each day.
- Total hours per day, with regular and overtime totals for the week.
- Worker signature and foreman approval, so both sides agree before payroll runs.
Getting overtime right
Federal law requires overtime pay at 1.5 times the regular rate for non-exempt employees after 40 hours in a workweek. Some states add daily overtime rules on top, so check the rules in each state you work in. The template totals regular and overtime hours separately for the week.
Tips for using it
- Fill it in daily, not on Friday from memory. Reconstructed hours are where most payroll errors start.
- One line per job per day. If a worker splits a day between two sites, use two lines.
- Approve weekly. The foreman signs off before the sheet goes to payroll.
- Keep them. Federal rules require keeping time cards for at least two years and payroll records for three.
When paper stops working
A paper timesheet records what someone wrote down, not where they were. Once you're running several sites, chasing sheets from every foreman, deciphering handwriting and re-typing hours into payroll becomes a weekly chore, and it leaves no proof if a worker's hours are ever disputed.
CrewVerify fills in the same information automatically. Each worker checks in from their phone at each site, GPS confirms they're there, and hours roll up by worker and by job, ready to export as a CSV for payroll. See also how to reduce payroll errors.
